Design Management System


1.Principles of the design management system



As a foundation to the development of the design management system three existing elements were taken in the process of design specified henceforth:


As we know the list of the implementation documents (plans and specifications) is the base of every project.

Usually the project capacity of the bridge/structure is defined estimatedly during the first steps of the program based on the list of plans that are required in order to execute the structure.

This list serves as a base to keeping track of the making of the design documents, and editing changes and updates in the documents including their drift through the office and out of it (transfer between designers, delivery to the customer, to attestation agents, to the executer, etc).


The right organization of a project requires a concentration of a file system that includes plans, specifications, calculations, letters, conference summarizations, execution documents, bills, etc… In a way that allows spotting and easy excess to aforementioned material.


The being of several projects at work being designed simultaneously and an archive of finished projects, require suitable order that allows maximum excess to the design material divided by projects.   

The programming of the system is done by using the newest of means and is based on data repository management environment.

The system was developed approximately 5 years ago and has been in the use of Pakatz company and it’s branch in Moscow Promos company for over 4 years.

The system has enabled efficiently reaching the following goals:


•Efficient and safe saving of the design data, including automatic back up (“hot” back up of up-to-date data every 40 minutes and saving the data on a back up disc twice a day);

•Authorization defined excess to different planning data;

•Remote control excess to work with the system via internet; using all the necessary programs for design purposes (most based on Windows environment) under the environment of the system along with keeping the data in it’s repository).

•Total elimination of work with Windows files, when all the data is saved in the system’s information repository and is ready to be used, warranted by the system manager.

•The system supports several languages (In it’s current version – Hebrew, English and Russian).


Usage of the system allows defining following documents:

-Sketches in dwg format

-Sketches in plt format

-Microsoft Office files – doc, xls, ppt

-Picture files in different formats – jpeg, tif, etc…

-Group data of calculation systems


Also, the system defines the whole of the project’s foundation.

The results of the design management system are:


•All the office employees work by project lists solely.

•All the actions related to the project are performed under the system.

•Every document in the system matches a certain phase of the project it belongs to.

•The time a user works is automatically registered accordingly to the different programs

•The accessibility to the system’s documents is defined by the permits that are preventing unwanted actions.

•In the database previous versions are saved with a possibility to go back to a previous version and to define it as a current document.


2.Main Sub-systems of the system

2.1 Sub system for managing project lists

On the screen there is a list of projects sorted by numbers and names.

Project containing multiple structures appear with a “+” sign. Pressing this sign reveals a list of all the structures which include the project.

The usage of the sub-system is done by pressing the buttons: Phone tasks, Statements, Tasks, Letters, Documents and enable access to different sub-systems.



Sub system for managing documents


The screen of the systems is divided to two sections – left is the project tree and/or the structure (a list of the project phases/ the structure) and on the right is the list of documents. The list of project phases enables quick and comfortable access to each and every one of the documents.

The phases are classified according to the following categories:

*Plans (sketches) with the following list of sub-categories:

•General plans



•Superstructure details

•Precast elements

•Road drawings



Written paperwork


•Drawing list

•Technical specifications




•Constructive calculations (program K-3 to calculating bridges from pre-stressed concrete and composite bridges as part of CBD system)

•Calculations by STRAP system

•GEOM – geometrical calculations using the programs MOSPRO and SINEP.


*Photographs and pictures

*Accounts and general documents

*Correspondence and summaries

The system allows many actions with aforementioned documents:

Edit – updating and editing the documents. The function is possible only for documents that are yet to be delivered.


Properties – setting the properties of the document including induction.

New Version – creating a new version of the document based on the previous version. The system allows creating a new version only when a reason for the creation is provided.

History – the history of changes and edits of the document. The function allows going back to all the versions and setting whichever one as the present version.

Save & Load – the option to assimilate documents in the system and extracting them.

Bookmark – marking documents to find them quicker

Delete – deleting a document. The function is open only for those with high permit.

Search – searching documents according to different features.


Sub-system of assignments and notifications

This sub-system is designed to assign tasks to employees and keeping track of them. The tasks appear on the screen upon entrance to the system along with an alert about the due date of the task. The alert only disappears after the task is done and was confirmed to be done by who is examining it.


Sub-system journal

A sub-system to running meetings in which you can also mark material out of the system that is required for the meeting and the documents are attached automatically.


Sub-system "signed field"

The system marks the name of the user working on the document in pre-set places, for example – the name of the draftsman in the title field of the sketch.


Report sub-system

As aforementioned the system follows the work being done. It is possible to get report via the system of the hours of work out into each of the projects, structures, drawing, calculations, etc…

The system follow the actual time of work – if a document hadn’t been touched in 10 minutes the system stops the time count (non-active document).
